Receiving multiple email notifications after a topic is updated

Featured Replies

Hello,

Yesterday I configured my emails' SMTP in ACP to send notifcations for new udpates.

Now, something unexpeted is happening that shouldn't be happening

  • As an admin, I'm receiving in my inbox 3, 4, and 5+ email notifications that should have been sent to users

  • Not only that, the followers of those topics do not match the number of topics for which the notifications should be sent

  • Also, as an admin, I am getting notifications when a user logs in with another device

Why is this happening? Is this a bug? What should I do to prevent so many emails from being sent? I got like 40 in a few minutes after I update a few topics.

This has never happened before. I have always had the "cloud" email service notification enabled and I never got a single notification. yesterday, I enabled the SMTP option and I'm being flooded

In the past, some members complained that they were not getting email notifications with the "cloud" option enabled, now I don't know about them, but as an admin, I'm being flooded and I shouldn't.

I need your help.

Thanks

There's even more to this issue.

All these issues started to happen yesterday when I configured the email notifications to me SMTP server instead of the cloud's

I'm receiving Daily Digests in my inbox that other members should be receiving.

Why am I receiving other members' digests? It doesn't make any sense.

I'm receiving new logged in device for other members. This is insane.

Please could you check the email headers, and ensure they are actually being sent to you? The only thing that has changed here is your mail service. It sounds very much like you may be being delivered mail incorrectly by the service itself. I dont want to dismiss it, but do need to rule that out

Well, there is something definitely wrong. What? I have no idea.

I had already checked the headers and that's why I contactede you. The email notifications I'm receiving are sent from my domain's email set up in ACP to the emails of members, but instead I am the one receiving these emails. New logged in devices, new updates to topics, etc.

Check the email below. I'm getting dozens like this one. From: my domain's email to: a member's email, and I am the one (admin) receiving the notifications.

Why the heck should I receive these notifications if they are cleared addressed to another member? I don't understand.

Thanks

If its actually showing the "To" correctly, the issue there is on the part of your mail server unfortunately.

Well, then there is an issue with Google Email, the largest email provider in the world because my email is a Google Business account. You're telling me that the problem is Google's?

I added the SMTP, added the password, tested the connecetion and I got the test email properly. After that, I'm receiving dozens emails.

It's not Google that sends the emails, it's ACP's cron jobs who does, so it's difficult to believe that it's a Google's email server problem, but something related to ACP and SMTP functions.

Many clients of ours use the SMTP feature. I actually use it on my own communities. It sends mail perfectly fine to the addressed recipient. I'm afraid, this either is a configuration error within your SMTP server or it does not allow outbound communication and thus, directing all mail to your own email address. Either way, as the email is being addressed correctly by the software, the software did its part in handing it off to the SMTP server.

To put this in an every day analogy here, it is like you addressed an envelope with your friend's address correctly and handed it off to your postal carrier and then it go returned to you. The address, envelope, and everything was correct (what our software is in charge of) but the delivery did not happen correctly (what your SMTP server is in charge of).

I understand the analogy but it doesn't make too much sense that Google's server is not sending the emails to the right recepients. I know anything can go wrong with computers and servers, but Google's SMPT servers not working and sending emails to the wrong people all over the world right now? I sincerely doubt it. The internet would be on fire right now!

So although I understand your analogy, it doesn't make sense because I googled and used AI to ask what's the problem and there are no known issues with Google's server.

ACP's configuration is simple: email, SSL connection and password. There's nothing else.

Logic tells me that there is something wrong and it's on Google's side or the whole world would be talking about it.

You will need to check your configuration with Google. If you're unsure how to configure this, you will need to contact them.

I already chatted with them yesterday, that step is already done. They told me I need to generate an app password of 16 characters, that Google cannot send emails with the normal SMTP server. So I did that. I pasted the 16 characters code as the password in ACP and then tested the email connection. I received the test email with the right headers.

I did what they told me and then right after that, I have started to receive emails addressed to other members even when they log in with a new device.

So the Google part action had already been done.

You will need to contact them with this issue in mind and ask about your configuration. Google Workspace is a complex environment, they will ensure it is configured correctly for you. That is outside our scope of support.

I already contacted them yesterday and they helped me complete the configuration! You're asking me to do what I've already done :(

I understand they helped you set up the initial configuration but that was before you noticed the error. You need to contact them regarding the error as they are the only ones who can help you resolve something in their system.

I need to clarify here. You are not stating here that you are getting emails sent to you that are someone elses, but addressed to you. You are saying they are being sent to you, someone elses, and actually even addressed to someone else.

I'm stating that the TO: field on these emails are not for me, are for other members and I'm the one (admin) receiving them and that shouldn't happen.

This email is for kwanzaphala user, not for me, but I am the one who got the email.

I have noticed that when a member gets a message notification that sometimes they will just hit reply instead of going to the message to reply and I will get their reply instead of the intended recipient. Maybe that is what is happening to you?

Please could you submit a ticket with this and include a copy of the mails. However looking at that, if the "to" is to someone else, its difficult to see how that could be ourselves. We have sent it to someone else. We dont control the mail delivery itself
